SBS establishes and discloses the following Privacy Policy to protect personal data collected from data subjects in accordance with the Personal Information Protection Act and to ensure issues concerning such data are promptly and smoothly resolved.
1. Processing of Personal Data(1) Definitions1) SDF: SBS D Forum, a non-profit global forum organized by SBS
2) SDF registrant: An individual who has submitted registration to attend SDF
3) SDF attendee: An SDF registrant that has actually attended SDF
4) SDF Diary: A newsletter service provided by SBS to provide a variety of information related to SDF
5) SDF Diary subscriber: An individual who has registered to regularly receive the SDF Diary newsletter

You have the right to refuse to consent to the collection and use of your personal data. If you refuse to provide consent, you will not be able to register to attend our event.

- Required items : Name, date of birth, gender, nationality, affiliation, title, address, phone number, and email of SDF registrant
- Optional items: Phone number, purpose of attendance, area(s) of interest, department, tel, remarks
3-2) SDF Diary
- Required: Name and email of SDF Diary subscribe
3-3) The following personal data items may be automatically generated and collected in the course of using Internet services: IP address, cookies, MAC address, service usage history, visit history, history of illicit activity

4-1) SDF attendance
- Until the end of SDF and related events or until cancellation of attendance by the SDF registrant
4-2) SDF Diary
- Until the termination of the SDF Diary newsletter service or until the cancellation of subscription by the SDF Diary subscriber
(3) Destruction of personal data1) SBS shall promptly destroy personal data when it is no longer required, including after the end of the retention period or in the event of termination of services or fulfillment of purposes of processing.
2) SBS shall destroy irretrievably personal data stored in the form of electronic files through such methods as a low-level format and destroy personal data stored in the form of physical documentation through shredding or incineration.

3. Personal data security measuresSBS takes the following measures to ensure the security of personal data:
1) Organizational measures: Adoption and execution of internal plan for management of data and regular training of employees
2) Technical measures: Management of access rights, installation of access control system(s), encryption of personally identifiable information, installation of security software
3) Physical measures: Access controls for data processing room, data storage room, etc.
4. (2) Personal data subjects can submit all inquiries that arise in the course of using our services with respect to personal data protection, complaints, and compensation for damages to the Data Protection Officer and dedicated Data Protection team/department. SBS shall respond to and process promptly all data subject inquiries
5. Rights and obligations of data subjects, methods for exercising such rights, and requests to view personal data(1) Data subjects can exercise at any time the rights to request to view, change, delete, or suspend processing of personal data.
(2) Such rights can be exercised in writing or by phone, email, or FAX and SBS shall promptly take the requested action.
(3) In the event of a request to change or delete personal data due to incorrect data, SBS shall not use or provide such data until the change or deletion has been made.
(4) Such rights can be exercised through a legal representative or an individual authorized by the data subject, in which event a power of attorney (authorization letter) must be submitted in accordance with the Personal Information Processing Method Notice (Notice 2020-7 of the Personal Information Protection Commission), appendix 11.
(5) Data subjects must not violate the Personal Information Protection Act or related laws and cause a breach in personal data of privacy of oneself or another data subject whose data is being processed by SBS.
(6) Data subjects can request to view personal data as follows in accordance with Article 35 of the Personal Information Protection Act. SBS shall promptly process such requests to view personal data.

6. Installation and operation of cookies for the automatic collection of personal data and the right to refusal(1) SBS uses cookies to store and continually retrieve personal information in order to provide users with personalized services.
(2) Cookies are small data files that are served to the user's Internet browser by the server (https) used to operate a website and may also be saved on the hard disk of a user's PC.
- Purpose of use of cookies: To identify the nature of the visit and use of websites and services used and visited by the user, popular search terms, and secure access conditions to provide optimized information.
- Right to refuse installation and operation of cookies: You can refuse to allow storage of cookies by selecting the relevant option in your browser (Tools > Internet Options > Privacy > Cookies).
- If you refuse to consent to storage of cookies, you may experience limitations in the use of personalized services.
7. Changes to Privacy PolicyThis Privacy Policy shall take effect October 4, 2023.
